The General Administrative Officer is responsible for managing and performing administrative office tasks to ensure the company’s daily operations run smoothly and efficiently.
1. Responsibilities
a. Administration & Documentation
– Draft, receive, and archive documents, official letters, and administrative records.
– Control and manage the procurement and distribution of office supplies and uniforms for employees.
– Perform receptionist duties when required, including welcoming guests, supporting meetings/events, handling incoming calls, and scheduling appointments/working calendars for the Board of Directors.
– Monitor and process administrative expenses such as courier services, electricity and water bills, internet, parking fees, ceremonial offerings, etc.
b. Asset & Equipment Management
– Track, manage, and hand over/receive company assets, equipment, and tools to/from relevant departments or personnel.
– Monitor maintenance schedules and replacement plans for machinery and equipment; coordinate with related departments to propose replacements when necessary.
c. Transportation Management & Coordination
– Monitor and reconcile material usage for each vehicle; prepare reports analyzing operational costs and internal vehicle utilization.
– Manage trip confirmation records from drivers and track attendance of the driving team.
– Coordinate with the Transportation Team Leader to monitor vehicle maintenance/repair schedules, handle arising issues, and manage related costs.
– Receive and handle customer feedback regarding transportation services; finalize transportation costs and transfer information to the Sales Department for debt settlement.
– Compile, update, and store documents related to vehicles and drivers; maintain tracking records for vehicle documentation such as registration, inspection, badges, insurance, etc., and ensure timely renewals.
2. Reporting
– Report work progress to the General Director and the Board of Directors.
3. Job Requirements
– Bachelor’s degree or higher, preferably in Human Resource Management or related fields.
– At least 2 years of experience as a General Administrative Officer or in a similar role within the Administration Department.
– Preference for candidates with knowledge of transportation (automobiles) and experience in fleet management and coordination.
– Proficient in office computer skills.
– Good English communication skills.
– Enthusiastic, careful, detail-oriented, and observant.
– Strong teamwork skills, professional attitude, willingness to learn, and ability to work under pressure.
